Recording in-person meetings with the Caven mobile app, and reading your meetings on your phone

4 min read

The Caven mobile app records audio for in-person meetings and uploads it to the same Library as Caven Studio. You can also read your meetings, share them and ask Caven questions from your phone. Editing, playback and speaker names stay in the web app.

Install and sign in

The app is for iOS and Android. Search for Caven in the App Store or Google Play.

Sign in with your Caven email and password, or with Continue with Google or Continue with Microsoft. If your account uses multi-factor authentication, the app asks for your 6-digit code. Forgot your password? Tap Forgot password? on the sign-in screen.

Allow notifications when the app asks. Caven uses them to tell you when something interrupts a recording and when an upload is done. Without them, the app shows a banner that it cannot warn you.

The tabs

A floating Ask Caven bubble sits above the tabs on every screen.

Recording a meeting

The app records audio only. Put your phone on the table for an in-person meeting; it keeps recording while the screen is locked or another app is open.

  1. Open the Record tab.
  2. Check the meeting link. If your calendar is connected, the app pre-selects the meeting that is in progress, or one that starts within about 30 minutes. Tap a different meeting in the list to link that one, or choose Don't link to a meeting.
  3. Tap Start recording.
  4. Tap Pause to pause and Resume to continue. Tap Stop recording when the meeting ends.

The recording uploads on its own. When it is done, a Recording uploaded notification tells you the transcript and summary are being prepared. Online meetings are still best recorded with Caven Studio.

Turn off Battery Saver / Low Power Mode before recording. With it on, the system can suspend the app and background recording may stop. The app warns you when it detects Low Power Mode.

When something interrupts the recording

  • A phone call or another app takes the microphone. The recording pauses and Caven tries every second to resume it. A notification explains why it paused (for example a phone call, a call in another app, or Siri) and another one tells you when it is recording again.
  • Another app is already using the microphone, for example Teams or Zoom. The app cannot start the recording; leave that call or close the app first. You also cannot start a recording during a phone call.
  • The system closes Caven. What was recorded so far is saved. You get a Recording recovered notification and the recording uploads.
  • Your phone is almost full. Caven warns you before you start if storage is low, and does not start when less than 200 MB is free. If the phone runs out of space mid-recording, Caven stops and saves what was recorded.
  • You start a Caven call. A running recording is stopped and saved first, and then uploads.

Uploads

Recordings that have not uploaded yet stay on your phone, listed as pending uploads on the Record tab. If you lose your connection, the upload continues once you are back online. If Caven is closed during an upload, the recording stays safe on the phone and the upload finishes when you open Caven again.

iPhone extras

On iPhone the recording shows as a Live Activity on the lock screen and in the Dynamic Island. You can also add the Caven recording widget to your home screen. Both show the recording status with Pause and Resume, and the upload progress afterwards.

Library

The Library tab is read-only. Switch between My recordings and Shared with me, search your recordings, and use Filters to sort and filter by date, type, tags, or Speakers to identify.

Tap a meeting to read its Summary, with key points, decisions and action items, and its Transcript. From there you can:

  • Share the meeting with the share sheet: Email, Colleagues, Folders and Link, the same options as in the web app. See Sharing.
  • Tap Open in Caven Suite for editing, playback and more. Speakers without a name are named in the web app; see Assign speakers.

Ask Caven

Tap the Ask Caven bubble to ask a question across every recording you can access. The answer streams in as Caven writes it. Open your past conversations to continue one, or start a New chat. You can edit a question you sent, ask Caven to answer again, and copy an answer. See Ask Caven.

Settings

  • Interface language: Automatic (follows your phone), English, Nederlands or Français. The new language is used the next time you open Caven.
  • Account: the account you are signed in with, and Sign out. Signing out during a recording stops it; what was recorded stays on the phone and uploads after you sign in again.
  • Local backup: how many recordings are still waiting to upload and how much space they use.
